Without and with

Fewer paper slips, more time at the table

How it often goes

  • Sign-up slips in letterboxes and school bags, with cash in an envelope.
  • Someone types everything into a spreadsheet, the night before the deadline.
  • Transfers without the right communication, or none at all: who has paid?
  • The kitchen guesses how much sauce to make, and the door looks up names on loose sheets.

With Eetfestijn

  • One link in the newsletter, the WhatsApp group or on a poster with a QR code.
  • Every order comes in with sitting, menu and total; nobody types anything over.
  • Every order has its own structured communication: paste your bank statement and see who has paid.
  • The kitchen gets totals per sitting, the door a list per sitting and a ticket per order.

How it works

Three steps, from committee meeting to the last plate

  1. 01

    Set up your dinner

Your club's name, the date and the hall, the sittings, the menu with prices and your club's account. Five minutes, no account. You get a secret link to run everything.

  2. 02

    Share the order link

In the newsletter, the team's WhatsApp group or on a poster with a QR code. Guests choose their sitting and menu, and pay right away with their banking app.

  3. 03

    On the night

Print the door list per sitting, the tickets with tear-off stubs for the kitchen, and the drink cards. Anyone who orders at the door, you simply add.

What it does

Everything volunteers otherwise do by hand

  • Paying with a QR code

Every order gets a payment QR with the right amount and its own structured communication. Guests scan it with their banking app and type nothing.

  • Sittings with seats

6 pm and 7.30 pm, or take-away between 5 and 6. Say how many plates each sitting takes; when one is full, guests choose another.

  • Totals for the kitchen

How much bolognese, how much veggie, how many kids' portions, per sitting and in total. You know what to buy, and no pot of sauce is left over.

  • Paste the statement, done

Copy the lines or the export of your bank account and paste them in. Where the communication and the amount agree, the order is marked paid. What doesn't agree, you see separately.

  • Tickets and drink cards

Print the door list per sitting, a ticket per order with tear-off stubs per dish, the kitchen list, drink cards to strike off and a poster with a QR code.

  • Add orders at the door

Someone turns up without ordering, or phones the chair: you add the order, paid in cash or not, and the kitchen counts it.

The money

Straight to your club, no middleman

Eetfestijn never touches the money. Guests transfer to your club's account as they always did, just without the typos.

  • No payment provider, no fee per payment and no payout to wait for.
  • The QR code follows the European standard for transfers; most Belgian banking apps fill in everything from it.
  • The structured communication has a check digit, so the bank spots a typo straight away.
  • Rather cash at the door? Fine: one tap and the order is marked paid.

Sources: the QR code follows EPC069-12 of the European Payments Council (the ‘SEPA credit transfer QR’); the structured communication is 10 digits plus a modulo 97 check number, as Belgian banks use it. Checked on 3 October 2026.

Who's behind it

Made by nealvdv

Eetfestijn is built and maintained by nealvdv, a Belgian web studio. No investors and no ads: the paid dinners keep it free for the small ones. A question or an idea? You mail the maker himself.

Questions

What organisers ask us

Your question isn't here? Mail us at contact@nealvdv.be, or just try it in the demo.

Is it really free?

Yes, for a dinner up to 60 orders, with everything: payment QR, lists, kitchen totals, tickets and drink cards. Need more, then ask for a Club dinner (€50) or a Season (€200 a year) from your overview. You get an invoice, not a subscription.

Do my guests have to create an account or install an app?

No. They open the link, choose their sitting and menu, fill in their name and pay with their banking app. They get their own page with their ticket, to keep or mail to themselves.

How does the money come in?

Straight into your club's account, by an ordinary transfer. Eetfestijn only makes the QR code with the amount and the structured communication; the money never passes through us.

And when someone pays without the right communication?

Then the statement doesn't recognise that payment and you see it separately. You look up the order by name and mark it paid with one tap. The same goes for cash at the door.

How do I run the dinner without an account?

When you set it up, you get a secret link. Whoever has that link runs the dinner: share it with your fellow organisers and nobody else. Keep it safe; if you lose it, mail us and we make a new one.

What happens to my guests' data?

We keep only what's needed: a name, what they order, and an e-mail address or phone number if they fill it in themselves. Sixty days after the dinner we wipe names and contact details; after thirteen months the whole dinner. No ads, no tracking.

Do we need internet in the hall?

Not really. Print the door list, the tickets and the kitchen list before the dinner starts; then it all works on paper. With a phone you can still add orders at the door and mark them paid.

Ready for the next club dinner?

Make your order page in five minutes, or first see what it looks like from both sides.
